PRIVACY NOTICE
1. Who we are
Marktlink Capital Management Coöperatief U.A. (Trompenburgstraat 2 C, 1079TX Amsterdam, the Netherlands) (“we”, “us” and “our”) is the data Controller for the personal data collected through this event registration.
We are committed to protecting personal data in line with our Privacy Statement. This Privacy Notice (“Notice”) provides information about how we process the personal data of individuals (“you”) who register for an event organized or co-organized by Marktlink Capital. For the purposes of this Notice, “event” includes any conference, webinar, forum, seminar, or workshop, whether taking place in person or virtually. 2. Purposes of processing and legal bases
We only process personal data if this is permitted by one of the following legal bases:
• Art. 6(1)(a) GDPR serves as our legal basis for processing operations for which you have explicitly agreed to such processing, for example, but not limited to, marketing communications, non-essential cookies, and consent for dietary or accessibility information;
• Art. 6(1)(b) GDPR is the legal basis when the processing of your personal data is necessary for the performance of a contract, for example, but not limited to, registering you for an event and managing your attendance;
• Art. 6(1)(c) GDPR applies when the processing of personal data is required by law, for example, but not limited to, tax, accounting, or other statutory obligations relating to event invoicing; and
• Art. 6(1)(f) GDPR serves as the legal basis when we can rely on legitimate interests to process personal data, for example, but not limited to, organizing and reporting on the event, cookies strictly necessary for the technical operation of the registration website, and maintaining relationships with past attendees to inform them of future events.
3. Personal data we collect
In connection with your event registration, we collect:
• Title (optional), first name, last name, email address, phone number (optional);
• Company name and position (optional);
• Address, city, country;
• Date and time of registration;
• Attendance information (e.g. sessions or workshops attended);
• Social media handle (optional); and
• Photographs and/or video/audio recordings taken at the event.
With your explicit consent, we may also collect dietary requirements (optional) and disability or accessibility needs (optional, provided on a case-by-case basis).
If you do not provide the information marked as mandatory on the registration form, we may not be able to grant you access to the event.
4. Photography and recording
Photographs and/or video or audio recordings may be taken at our events for event documentation and reporting purposes. Where you have given your consent, they may also be used for future promotional purposes on our website and social media. Where recording takes place, this is indicated by signage on-site. If you do not wish to be photographed or recorded, please contact us on the day of the event or at the email address mentioned on this Notice and we will make reasonable efforts to accommodate this.
5. Who we share your data with
Within Marktlink Capital access to personal data is limited to employees and departments that need it to fulfil our contractual and legal obligations or to perform operational tasks relating to the event. This ensures that data is shared strictly on a need-to-know basis.
We may share data with trusted service providers who process data on our behalf under Data Processing Agreements, in accordance with Art. 28 GDPR. This includes for example our event registration platform, venue, catering, logistics, and IT providers.
In addition, we may share personal data with sponsors or exhibitors of the event, public authorities, regulators, professional advisers, or other third parties, acting as independent controllers, where this is necessary to perform a contract (Art. 6(1)(b) GDPR), to comply with a legal obligation (Art. 6(1)(c) GDPR), or where we have a legitimate interest in doing so (Art. 6(1)(f) GDPR). Before relying on legitimate interest, we ensure that your rights and freedoms are not overridden. Sharing your data with sponsors or exhibitors for their own marketing purposes only takes place with your express consent (Art. 6(1)(a) GDPR), which you can withdraw at any time by contacting us at the email address mentioned in this Notice.
We do not name individual third parties in this Notice; if you would like more information about a specific recipient of your data, you may contact us using the details below.
6. International transfers
In principle, we do not transfer personal data to service providers or partners (including sponsors, exhibitors, and event platform providers) located outside the European Union (“EU”) or the European Economic Area (“EEA”). However, in cases where this may happen, an adequate level of protection through appropriate safeguards, as mentioned on our Privacy Statement.

7. Retention
We retain the personal data collected for event registration only for as long as necessary for the purposes described in this Notice. At the end of this period, your data is deleted or fully anonymized. In cases of anonymization, all identifying elements are irreversibly removed so that the resulting information can no longer be linked back to you, and it is used only for aggregate event statistics.
Data you have separately consented to for marketing purposes is kept according to our Retention Policy. For further information, please contact us.
8. Your rights
As a data subject, you have the following rights, provided that the legal requirements are met:
• Right of access (Art. 15 GDPR): request information about your personal data processed by us;
• Right to correction (Art. 16 GDPR): request the immediate correction of incorrect personal data stored by us or the completion of your personal data;
• Right to deletion (“right to be forgotten”) (Art. 17 GDPR): request the erasure of your personal data stored by us, unless processing is necessary for reasons arising from the law;
• Right to restrict the processing (Art. 18 GDPR): request the restriction of the processing of your personal data, insofar as the legal requirements are met;
• Right to data portability (Art. 20 GDPR): receive the personal data concerning you, which you have provided to us, in a structured, commonly used and machine-readable format and have the right to transmit those data to another controller;
• Right to object to the processing (Art. 21 GDPR): object to the processing of your personal data if there are reasons for doing so that arise from your particular situation. You can also object to the processing of your personal data for direct marketing purposes, including profiling to the extent that it is related to such direct marketing, in which case the personal data will no longer be processed for these purposes;
• Right to revoke consent at any time (Art. 7(3) GDPR). As a result, we are no longer allowed to continue the data processing based on this consent in the future; and
• Right to lodge a complaint (Art. 77 GDPR): file a complaint with the competent supervisory authority. The competent authority in the Netherlands is the Autoriteit Persoonsgegevens ("Dutch Data Protection Authority"). To exercise your rights, please contact us using the contact details provided in this Notice. We will respond to your request without undue delay and within the statutorily prescribed time limits and in accordance with the applicable data protection laws, in particular Art. 12 GDPR.
9. Marketing communications
We will only send you marketing communications about future events or products if you have separately opted in by ticking the relevant box on the registration form. You can withdraw this consent at any time, free of charge, by clicking the unsubscribe link in any marketing email, or by contacting us at privacy@marktlinkcapital.com. Withdrawing your consent will not affect the lawfulness of communications sent before you withdrew it.
10. Cookies
If you register online, cookies may be used as described in our Cookie Policy. If registration takes place on a third party platform, that platform’s own cookie policy applies.
